Product Forge Privacy Policy

Product Forge is a product listing and catalogue management application provided by Field & Function. This Privacy Policy explains how information is handled when merchants install and use Product Forge.
Information Product Forge processes
When Product Forge is installed on a Shopify store, the application may process information required to authenticate the store and provide its product management features. This may include the store domain, authentication and session information, product and variant information, inventory information, collections, metafields, product images and store configuration.
Product Forge does not require access to customer order information or protected customer data to provide its core functionality.
How information is used
Information is processed only where necessary to provide and operate Product Forge. This includes creating and updating Shopify products, generating product listing content, managing variants and inventory, applying store-specific listing rules, maintaining product upload history and providing connected integrations.
Artificial intelligence
Product Forge uses artificial intelligence services to assist with generating product listing content. Relevant product information may be submitted to an AI service where required to generate requested content. Product Forge is designed to use product and catalogue information for these features rather than Shopify customer data.
Microsoft OneDrive
Merchants may optionally connect a Microsoft account to Product Forge to import product files and images from OneDrive. Product Forge accesses OneDrive only after the merchant authorises the connection and only for functionality associated with the integration. Authentication credentials and tokens required to maintain the connection are stored securely.
Merchants may disconnect the integration when they no longer wish to use it.
Data storage and security
Product Forge stores information necessary to operate the application, including Shopify sessions, store configuration, integration information and product upload history. Reasonable technical and organisational safeguards are used to protect information processed by the service.
Data retention and deletion
Information is retained only for as long as reasonably necessary to provide Product Forge, meet legitimate operational requirements, or comply with applicable legal obligations.
When Product Forge is uninstalled, Shopify notifies Product Forge of the uninstall. Data associated with a store may subsequently be deleted or anonymised where it is no longer required, subject to applicable legal and operational retention requirements.
Shopify's mandatory privacy and data deletion requests are handled in accordance with Shopify's requirements.
Third-party services
Product Forge relies on third-party infrastructure and services to provide certain functionality, which may include Shopify, Microsoft, AI service providers and application hosting and database infrastructure. These providers process information according to their respective terms and privacy obligations.
Merchant responsibilities
Merchants are responsible for ensuring that information they upload to or process through Product Forge is collected and used lawfully and that they have the necessary rights to use any images, files or other content supplied to the application.
Changes to this policy
This Privacy Policy may be updated as Product Forge develops or its functionality changes. The latest version will be published on this page with an updated revision date.
